Prepare a catalogue your store team can maintain

Use a representative product sample to agree variant, stock and content responsibilities before requesting an online-store proposal. The worksheet works as a discussion brief; it is not a ready-to-import Shopify, WooCommerce or POS file.

Agree the meaning and owner of each field

Complete these six field groups for a small sample before entering the complete catalogue. Keep unresolved questions visible. The chosen platform's actual import requirements and your business's approved selling rules still need review.

Product family / variant SKU

Stable product reference and each purchasable combination; preserve meaningful leading zeros.

Decision to record: Who resolves a duplicate or conflicting identifier?

Options and selling unit

Size, colour, pack quantity or other options, with the unit in which price and stock are stated.

Decision to record: Can every displayed combination actually be ordered?

Approved price and price status

Confirmed amount/currency or explicit quote-only status. A missing price is not zero.

Decision to record: Who approves changes and when do they become visible?

Stock source and availability

The system that owns quantity, update timing and whether backorders are permitted.

Decision to record: What happens when the last unit is requested twice?

Images and product information

Approved description, specifications and permitted image references mapped to the right variant.

Decision to record: Who supplies, checks and maintains each item?

Delivery and returns

Business-approved service areas, charge rules and return information relevant to the product.

Decision to record: Which restrictions must appear before an order is accepted?

Four synthetic rows and their review decisions

SHIRT-NAVY-M: confirmed variant
Navy, medium, PKR 2,500, three units in the agreed stock source. Confirm image mapping, selling unit and who maintains availability. This illustrates a complete sample record; it is not a live product listing.
SHIRT-NAVY-L: zero available units
Navy, large, PKR 2,500, zero available units. The price can be confirmed while the item is unavailable. Decide how the page displays that state and prevent an accidental backorder unless the business explicitly supports it.
SHIRT-NAVY-M again: conflicting source row
Another row repeats the medium SKU with a different quantity. Do not add both stock figures automatically. Assign a reviewer, retain both source references and record which source is authoritative.
BUNDLE-DEMO: price and stock rule unconfirmed
Keep the row in review until the business defines the price, components and fulfilment rule. A missing amount must not become a free checkout item. Quote-only presentation needs an explicit customer journey.

Review the sample before expanding the catalogue

  1. Have the product owner approve names, prices, units, specifications, permitted images and availability wording.
  2. Check the sample in the agreed staging environment. Review variant selection, images, unavailable stock and delivery information on a phone.
  3. Repeat a sample import and record whether existing items update or duplicate. Keep rejected rows and correction ownership visible.
  4. Test competing requests for one available unit using the actual reservation process. A manual stock workflow must be described as manual.
  5. Agree complete-catalogue entry effort, rejected-data correction, training, exports and who maintains the records after launch.

Connect the catalogue to the rest of the order

Read the full product-preparation guide, compare e-commerce development scope and work through the COD settlement example. For a connected shop, review inventory ownership and order states.

To discuss a project, send a synthetic sample and open questions through the store enquiry route. Downloading the worksheet does not submit an enquiry or upload your catalogue.
